Setting up fee templates and term billing

How to create fee templates that define what each class or programme pays per term, organise fee line items, and use those templates to generate individual student bills at the start of each term.

Before you begin

  • You are logged in as Bursar or School Admin.
  • Class sections have been created (article 7.1).
  • You know your school's fee structure for the current term.

What a fee template is

A fee template is a reusable fee structure that defines all the charge items for a particular class level or programme type. Instead of manually entering fees for each of 120 students, you create one template (e.g. "Nursery 2, Third Term 2025") and bulk-apply it to all students in that class.

A template contains one or more line items, each with:

  • A fee name (e.g. Tuition Fee, Development Levy, Feeding Fee, Bus Fee)
  • An amount
  • Whether it is mandatory (applies to all students) or optional (can be opted out per student)
  • A due date

Creating a fee template

  1. Go to Fees from the sidebar → Fee Structure tab → click Add New Fee.
  2. Enter a template name (e.g. "Nursery 2, First Term 2025–2026"). Be specific, you will have many templates over time.
  3. Select the class section(s) this template applies to.
  4. Set the term and academic year this template is for.
  5. Click Add Fee Item and fill in the fee name, amount, and whether it is mandatory or optional.
  6. Repeat step 5 for each line item.
  7. Set a payment due date for the template. Late fee defaults can be adjusted in Fees → Settings tab.
  8. Click Save Template.

Clone templates between terms. Click the Clone button on an existing template to create a copy for the next term. Update the amounts if they have changed, and you are done in two minutes. No need to rebuild from scratch each term.

Fee line items, what to include

Common fee items for Nigerian early-years and primary schools:

  • Tuition Fee, the core term fee
  • Development Levy, capital improvement contribution
  • Feeding Fee, breakfast, lunch, and snacks (mandatory if the school provides meals)
  • Bus Fee, optional, for students using the school bus
  • Stationery/Resource Levy, for books, art materials, etc.
  • Uniform Fee, only in terms where new uniforms are purchased
  • PTA Levy, mandatory in many Nigerian schools
  • Examination Fee, for term-end exams (common in primary schools)

Viewing and editing a template

  1. Go to Fees → Fee Structure tab and select the fee.
  2. To add or remove line items: click Edit Template, make changes, and save. Changes only affect new bills generated after the edit, existing student bills are not retroactively updated.
  3. To close a template (prevent new bills from being generated): click Archive Template. Existing bills and payment records are preserved.
Editing a template after bulk allocation does not update existing student bills. If you discover a mistake in a template after applying it to 80 students, you need to either edit each student's bill individually or void and re-issue the bills. Test your template amounts carefully before bulk allocation.

Applying a template to a whole class

To bill all students in a class at once, use Fees → Bulk Operations → Assign Fee to a Class: select the class and fee, set the due date, and click Assign to All Students in Class. See article 5.2 for the full bulk-allocation walkthrough.

Common mistakes

  • Not naming templates descriptively, "Term 2" with no year or class information is useless when you have 20+ templates.
  • Including the Bus Fee as mandatory when only some students use the bus, set it as optional and apply it only to the relevant students.
  • Editing a template after bills have been issued and expecting the changes to apply to existing bills, they do not.
