Generating and publishing primary report cards

How to generate end-of-term report cards for a primary class: checking prerequisites, previewing a card, adding the class teacher's remark, generating in bulk, and sharing with parents through the portal.

Before you begin

  • Mark entry is submitted for all components (CA1, CA2, Exam) for all subjects in the class (article 6.3).
  • Grade bands are configured (article 6.2).
  • The school's logo and address are uploaded in Settings → School Profile.
  • You are logged in as School Admin, Principal, or Class Teacher.

What the report card contains

School Vault primary report cards include:

  • School name, logo, address, and term/year
  • Student name, class, admission number, date of birth
  • Subject-by-subject score table: CA1 / CA2 / Exam / Total / Grade / Remark
  • Overall position in class (1st, 2nd, 3rd …) if ranking is enabled
  • Attendance summary for the term (present / absent / days school was in session)
  • Class teacher's remark (free text, up to 200 characters)
  • Head teacher / Principal's remark (optional, added before publishing)
  • School stamp / signature block (uploaded image)
  • Next term resumption date

Before generating: checking readiness

  1. Go to Report Cards → Check Readiness.
  2. School Vault checks: all subjects have submitted marks, no students have unresolved NS entries, grade bands are configured, school logo is uploaded.
  3. Any issues are shown as a list with links to fix them. Resolve all issues before proceeding.

Adding the class teacher's remark

  1. Go to Report Cards → Teacher Remarks.
  2. A list of all students in the class is shown. Each student has a text field for the teacher's remark.
  3. Type a personalised remark for each student (up to 200 characters). This field supports line breaks.
  4. Remarks are saved automatically. You can return to this screen multiple times before generating.
Vary your remarks. Parents compare notes with each other. If every child in the class receives "A hard-working student", it appears impersonal. Mention something specific to the child, a subject they improved in, a quality you observed, or an area to focus on next term.

Previewing a single report card

  1. Go to Report Cards → Preview.
  2. Select a student and click Preview Card.
  3. The report card opens as a PDF preview in a new tab.
  4. Check that: the layout looks correct, scores are accurate, the teacher's remark is present, the school logo appears, and the grade and remark columns are correct.

Generating report cards in bulk

  1. Go to Report Cards → Generate.
  2. Select the class section (or "All Classes" for a school-wide generation).
  3. Click Generate All.
  4. A batch job runs in the background. You receive a notification when generation is complete.
  5. Generated cards are saved in the system. Each student now has a PDF report card available.

Publishing to parents

Generated report cards are not visible to parents until you publish them. This allows you to review all cards before release.

  1. After reviewing the generated cards, click Publish to Parents.
  2. Parents receive an in-app notification that their child's report card is ready.
  3. Parents can view and download the PDF report card from the parent portal under Report Cards.
  4. Optionally, click Send SMS Notification to also notify parents via SMS.
Publishing is not easily reversible. Once report cards are published, parents can see them in the portal. If you need to correct an error after publishing, you must: correct the mark, re-submit, regenerate the specific student's card, and re-publish. The parent will receive a second notification and may have already seen the incorrect card. Avoid this by doing a thorough readiness check and preview before publishing.

Printing report cards

  1. Go to Report Cards → Download.
  2. Download individual PDFs or a combined class PDF (all students in one document, one per page).
  3. Print from the downloaded PDF. The card is formatted for A4 paper.

Common mistakes

  • Publishing before all teacher remarks are added, blank remark fields print as empty lines on the report card, which looks unfinished.
  • Not previewing at least one card before bulk generation, a configuration error (wrong score weights, missing logo) affects every card in the batch.
  • Generating report cards before all subject mark entries are submitted, subjects with unsubmitted marks will show blank columns on the report card.
