What is School Vault and who is it for?

School Vault is a multi-tenant school management platform built for early-childhood and primary schools across Africa and the diaspora. This article explains what the platform does, which features matter to each type of user, and what you should read next.

What School Vault does

School Vault brings every part of your school into one place, from the moment a parent drops their child off in the morning to the moment fees clear in your bank account at end of term. It handles:

  • Attendance, manual, QR code, and bulk methods, with analytics and the fire register
  • Daily reports, meals, naps, activities, behaviour, photos, and wellness entries
  • Health & safeguarding, medical records, incidents, authorised pickups
  • Curriculum & assessment, 10 frameworks from EYFS to NERDC, with observations, Learning Journals, and PDF portfolios
  • Primary academics, mark entry, report cards, timetables, homework, and CBT
  • Fees & finance, fee templates, bulk billing, dedicated virtual accounts via Paystack
  • Communication, SMS, WhatsApp, and in-app messaging to parents and guardians
  • Parent portal, a dedicated view for families to follow their child's day
One platform, many school types. School Vault serves nurseries, playgroups, creches, primary schools, and multi-branch schools. The terminology mode setting (see article 1.7) adjusts labels throughout the platform to match your school type.

What School Vault is NOT

A few things School Vault deliberately does not try to be:

  • It is not a standalone website builder for your school, it is an internal operations platform
  • It is not a generic SaaS tool adapted for schools, every feature is purpose-built for early-years and primary education
  • It does not require a developer to set up, a confident non-technical admin can complete the full setup in under an hour using the checklist in article 1.2
New to School Vault? Admins should start with the First-time school setup checklist (article 1.2). Teachers should jump straight to Taking attendance (article 3.1). Parents can read the parent walkthrough (article 1.6).

How this Academy works

The Academy is organised into nine tracks. Each track covers a distinct area of the platform. Articles within a track build on each other, so reading them in order is the fastest path to competence. Every article ends with a list of related articles for deeper reading.

Common mistakes

  • Assuming all 18 roles have access to the same features, they do not. Read article 1.4 to understand what each role can and cannot do.
  • Trying to configure everything before reading the admin checklist (1.2). The checklist orders the steps so later configuration does not have to be undone.
  • Parents trying to log in through the admin URL instead of the parent portal link, they are separate access points.
