Analytics Dashboard: school-wide performance insights

A guided tour of the six-tab Analytics Dashboard: what each tab shows, how to interpret the KPIs and charts, and how to use the data to make informed decisions about school operations.

Before you begin

  • Students are enrolled and classes are active so the dashboard has data to display.
  • You are logged in as School Admin, Principal, or School Owner.

What the Analytics Dashboard is

The Analytics Dashboard is a read-only, school-wide reporting screen. It aggregates data from across all School Vault modules — attendance, fees, enrollment, assessments, staffing — and presents them as KPI cards, trend charts, and tables. Nothing is entered here; the dashboard draws on live data entered elsewhere in the system.

Go to Analytics from the main sidebar to open it.

Overview tab

The default tab shows a cross-module summary:

  • Total Students — number of enrolled active students.
  • Total Revenue — fee income collected so far this term (₦).
  • Attendance Rate — today's school-wide attendance percentage.
  • Teachers — number of teaching staff currently active.
  • Student Enrollment Trend — a line chart showing monthly student counts over the past several months.
  • Attendance Trends — a line chart showing monthly attendance percentage.
  • Alerts & Action Items — a count of issues that need attention (e.g. overdue payments, unsubmitted marks).

Financial tab

Focused on fee income and outstanding payments:

  • Total Revenue — collected fees with the collection rate percentage shown below.
  • Total Fees Assigned — total fee bills raised for all students this term.
  • Outstanding — unpaid balance with a count of pending accounts.
  • Overdue — accounts requiring follow-up (past the payment deadline).
  • Monthly Collections chart — fee collection trend over time, useful for spotting payment peaks and slow months.
  • Revenue by Category chart — fee income broken down by fee type (e.g. tuition, bus, lunch).

Academic tab

Covers curriculum assessments and milestone progress:

  • Assessments — total assessments recorded and how many have been published.
  • Submitted — mark entries awaiting admin review.
  • Drafts — mark entries saved but not yet submitted.
  • Milestone Progress — progress bars for each developmental domain (language, numeracy, physical, sensory), showing what proportion of children have milestones recorded in each category.

Attendance tab

Deep-dives into attendance patterns:

  • Overall Rate — today's school-wide attendance rate.
  • Present Today — count of students checked in versus total enrolled.
  • Chronic Absenteeism — students whose attendance has fallen below 80% over the last 30 days.
  • Monthly Attendance Trends — a dual line chart showing present versus absent counts each month.
  • Attendance Rate Trend — monthly attendance percentage as a line chart.
Chronic Absenteeism is your early-warning signal. A student showing in the Chronic Absenteeism count has been below 80% attendance for a month. Research consistently shows that chronic absenteeism in early childhood predicts later academic difficulties. Use the count here to trigger a conversation with the family before it becomes a pattern.

Enrollment tab

A snapshot of who is enrolled and how full the school is:

  • Total Enrolled, Capacity Utilisation (%), Total Classes, Available Spots.
  • Enrollment Applications chart — monthly application submissions and approvals over the last 6 months.
  • Age Distribution — bar chart of student count by age group (0–2, 3, 4, 5, 6+).
  • Class Occupancy — bar chart comparing enrolled versus capacity for each class section.
  • Gender Distribution — pie chart showing male / female / unknown breakdown.
  • Classroom Breakdown — a table listing every class with its enrolled count, capacity, occupancy percentage, and availability status.

Operational tab

Staff and operational metrics:

  • Total Staff, Total Students, Student:Teacher Ratio, Incidents (30d) — count of security incidents in the last 30 days.
  • Students by Class — bar chart of class sizes.
  • Staff by Role — a breakdown of how many people hold each role (teacher, parent, bursar, admin, etc.), useful for auditing whether role assignments are correct.

Common mistakes

  • Treating the Analytics Dashboard as a live feed that updates instantly — KPIs refresh when you navigate to the page or click Refresh; they do not auto-update while you are looking at them.
  • Ignoring the Overdue count in the Financial tab — overdue fees typically require a manual follow-up message or call; they do not automatically escalate. Check this count weekly at minimum.
  • Confusing the Academic tab's "Assessments" KPI (curriculum assessment records) with mark entry submissions — they are different things tracked by different modules.
